Summary of Position

Under broad supervision from supervisor and with a focus on continuous improvement and customer service, independently assist in a variety of complex administrative matters, including social media development and maintenance, providing office services related to information flow, document preparation, data collection and maintenance, and customer service for the department/office; using independent judgement, problem-solving skills, and initiative to determine approach of action to take in handling differing situations and problems taking into consideration departmental priorities, duties, policies and program goals.

High school graduation. Three years of office experience or three years of specialized training or higher education or any combination of experience and higher education equal to three years. Proficiency in social media platforms (Facebook, Instagram), Microsoft Suite, Drupal and Adobe Creative Cloud.

Additional Preferred Qualifications

Strong computer skills including: equation and scientific word processing for Organic Synthesis publication and chemistry exams; database management and desktop publishing software; internet and email; ability to utilize technology such as a scanner, new software, etc.; ability to work independently and handle multiple tasks on a daily basis from a variety of sources in an open environment. Position maintains department web site. Experience with HTML and/or Drupal preferred, photo-editing and Lighthouse preferred.

Duty/Responsibility

Administrative Assistance: Perform diverse, responsible and complex office support functions including organizing, communicating and coordinating information using independent judgement and problem-solving skills to determine the best approach in non-routine situations. Position requires proficiency with social media platforms. Assists Academic Department Coordinator (Manager) with a variety of tasks including photo-editing, word processing, department material design (flyers, special events, J-term announcements etc.) and department cloud storage folder development and cloud file maintenance. Assist Faculty with with routine to complex technical correspondence and documents for department courses, copying exams, printing color requests, formatting and word processing assorted letters. Provides assistance to train students on Xerox and assist with problem solving Xerox use as needed. Gather any reports or forms as needed for Chair, Coordinators or Academic Dept. Coord. Maintains course syllabi per semester. Sets up office hour informational sheet for student reference per semester, department notices, seminar notices, etc. Coordinates parking passes for off campus visitors (seminar speakers, donors, etc.) Provides TA evaluation tabulation. Assists Manager with any personnel coverage needs in department. Works on Special Projects as requested. Distributes the mail as received to faculty, staff and student mailboxes in the department suite; this includes distribution to non-chemistry personnel who also have a mailbox in the department.

Duty/Responsibility

Social Media: Develops and maintains department website, building monitors slideshow material, Instagram, Facebook and any other social media connections. Webpage maintenance and development in Drupal and Lighthouse. Utilizing Microsoft Publisher, create quality presentation materials for annual and special events such as Awards Ceremony and other occasions. Creates a variety of department promotional materials utilizing Microsoft Publisher. Specifically sets up a photo and short biography for each Iddles and LaMattina Speakers to feature on the website. Assists Academic Department coordinator (manager) with setting up the Awards Ceremony event and other department events. Takes photographs of the students receiving the Awards with faculty at the Ceremony, Position provides general photography and photo-editing for posts on website and other social media.

Duty/Responsibility

Committee and/or Coordinator Support: Works with the Undergraduate Coordinator to set up new student file folders for advisor distribution using Webcat and Banner. Maintains advisor list in Excel, updates per semester and uploads into Dept. Cloud folder. Prepares letters for Visiting Student Day. Sends out emails to undergraduate distribution list. Handles certification forms for undergraduates. Works with the GRAS Committee to obtain graduate student applicant documents from Salesforce, TX and WebI, set up prospective student files and offer letters. Uploads files to GRAS Cloud folder for Committee review. Also tracks applicants, sends needed materials to OISS for processing, and assists with other materials as needed. Prepare correspondence to prospective and incoming graduate students. Creates virtual student files of accepted students and materials for access by Academic Department Coordinator and Faculty. Assists with Incoming Graduate Student Orientation material prep and takes photos of new graduate students for department.

Duty/Responsibility

Organic synthesis: This position provides word processing assistance and maintenance of Organic Synthesis under the direction of Professor Chuck Zercher, Editor for Organic Synthesis. This requires collaboration with the publishing company, modification to incoming materials to meet the editors and publisher’s criteria, mailings to board members, coordination of materials for events and dinners associated with Organic Synthesis. This position maintains a complex system of journal modifications. General filing and file maintenance for Organic Synthesis.

Duty/Responsibility

Student and Public Assistance: This position is the first person seen or connected with by students, the public and incoming phone calls/email. Assistance can range from showing the student where the graduate mailboxes are, to looking up classes, finding a tutor and more. This position fields incoming phone calls and emails and either responds or forwards as needed.
