Job Summary

Coordinate with IT Infrastructure, Facilities, Grounds, and Fleet to input and maintain asset inventory. Responsible for the operation of the Vice President’s office and providing administrative support to the Vice President of Operations.

Required Qualifications

  • High School diploma or equivalent and two years of clerical and general office experience; or Associate Degree or equivalent (60 college credit hours)
  • Customer service focus
  • Ability to work independently and collaborate within a team environment
  • Computer literacy to include proficiency with office computer applications, including Windows, Microsoft Office Suite, College ERP systems, Adobe Acrobat, etc.
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Knowledge of general office equipment
  • Excellent written and verbal communication skills
  • Great public relations skills
  • Organizational skills, process-oriented, and attention to detail
  • Ability to maintain confidentiality
  • Must be able to multitask with the ability to meet deadlines
  • Must possess a valid Texas Driver’s license, good driving record, and be insurable on Midland College’s insurance policy

Preferred Qualifications

  • Prior clerical and general office experience in a school or college administration setting
  • Data entry experience
  • Experience working with budgets
  • Experience with imaging software, indexing documents, and SharePoint

Essential Functions

  • Assist the Vice President of Operations with general office duties, including receptionist, telephone communication, and public contact
  • Responsible for the operation of the Vice President’s office, including the management of resources: budget, purchasing and account management, supplies, equipment replacement, office scheduling, file maintenance, meetings, travel arrangements, reconciliation, and payroll
  • Liaison with vendors and IT Infrastructure leadership to assist campus staff with equipment specs, product quotes, and individual installation requirements
  • Order supplies and equipment, which includes preparing purchase orders, invoicing, and record keeping, as well as maintaining office equipment and supplies
  • Maintain a calendar and manage licensure, equipment maintenance, and subscription renewals
  • Coordinate with IT Infrastructure and Facilities leadership to develop and maintain asset inventory, including adding new equipment to the inventory system and completing proper transaction records for IT equipment
  • Coordinate with IT Infrastructure and Facilities to help maintain and monitor IT inventory system
  • Coordinate IT hardware ordering for campus
  • Coordinate special events (prepare work requests for room reservations, setups, food service menus, RSVPs, etc.).
  • Prepare requisitions for the department
  • Serve on college committees as requested
  • Other duties as assigned
