Duties and Responsibilities
Essential Duties and Responsibilities
The Project staff assistant reports directly to the Project Director. The Project Staff Assistant is responsible for clerical duties required for the US Department of Education LEAPS POWER grant and those requested by the Vice President of Student Success and Enrollment.
Characteristic Duties and Responsibilities- Works directly and collaboratively with Project Director to coordinate all required activities for the grant.
- Performs clerical duties such as typing, filing, mailing, and maintaining records on a full?time basis in accordance with the established policies and procedures of the grant and the college.
- Performs receptionist duties including answering the telephone and taking messages, scheduling appointments, greeting office visitors, and providing information about college in general and about the LEAPS POWER grant in particular.
- Maintains an effective and efficient file management system.
- Maintains confidential files and records of students and staff.
- Maintains as updated inventory list of furniture and equipment in the offices/lab purchased with the grant and/or by the college.
- Assists in collecting and preparing information for documentation and reports, types, and distributes accordingly as required by the nature of the task.
- Assists in supervising the use and maintenance of all computers, duplicating and other equipment in the office.
- Assists the Administrative Assistant to the Vice President of Student Success and Enrollment upon request.
- Attends and services general meetings (producing agendas, sign?in sheets, and take notes).
- Performs other duties assigned by the Vice President of Student Success and Enrollment and Associate Vice President of Student Success and Support services and the Project Director.
- Performs all duties with the utmost confidentiality as most activities and transitions of the office are of sensitive and confidential nature.
Qualifications/Certifications/Licenses/Skills

Required:- High school graduate or equivalent.
- Some college coursework and/or training in secretarial procedures, office management, and record keeping.
- Two years clerical experience.
- Valid Texas Driver’s License and proof of insurance.
Knowledge, Skills and Abilities
- The Project Staff Assistant must reflect appropriate office and telephone etiquette procedures and should be articulate in English and Spanish.
- In addition, this individual must have a cooperative attitude and be able to communicate effectively with students, campus visitors, and college staff.
- He/she must be able to work under pressure and meet deadlines; must be dependable and responsible and show initiative.
- He/she must be willing and able to participate in trainings for professional development and completion of project goals as requested.
- He/she must possess effective clerical and office skills and knowledge of office machines which include a basic competency in use of micro?computers, MS Word, Excel, Power Point, Internet, and Microsoft Outlook.
- Also, must be able to type a minimum of 50 words per minute with a high degree of accuracy.
- Clear speaking voice to communicate with faculty, staff, students, and the community.
- Must have reliable transportation in which he/she will be picking up/dropping off items (different locations) for coordination activities and events.

While performing the duties of this job, the employee is regularly required to sit.
The employee is occasionally required to stand, walk, stoop, kneel, or crouch.
