Position Summary

The Financial Aid Department is recruiting for a full-time Financial Aid Specialist.  This position is responsible for the initial point of contact to all customers within the Financial Aid Department and performs administrative duties.

Duties & Responsibilities

  1. Serves as the initial point of contact for students, faculty, and community in person, by phone, live chat and email.
  2. Handles extensive customer interaction with high volume student contact by phone and in person during peak season.
  3. Coordinates and advertises special scholarships.
  4. Website Content Manager – update and upload yearly forms, make changes to existing information, all maintenance and revisions.
  5. Works with the Advancement Office to run Scholarship awarding processes as necessary.
  6. Updates and monitors scholarship awards in conjunction with the Advancement Office.
  7. Sends award letters and reminders for scholarship process.
  8. Monitors and posts receipt of scholarship acceptance letters and manages correspondence between students and the appropriate individual or office.
  9. Works with the College Advancement and External Affairs staff to coordinate the scholarship awarding.
  10. Works closely with Business Office staff responsible for External Scholarships to include posting documents and month end reconciliation.
  11. Posts in-coming documents and distributes forms to the counselors or for student workers to scan.
  12. Answers inquiries concerning deadlines, assisting in FAFSA applications, disbursement of aid, loan processing, and registration.
  13. Assists with scanning and filing documents.
  14. Orders supplies.
  15. Performs all other duties as assigned by the Director of Financial Aid.
  16. This position will access student records at times and will follow all FERPA guidelines.

Qualifications

  • High School Diploma or equivalent required.
  • Associate degree preferred.
  • Two years administrative experience required.
  • Working in a college environment with a diverse population is preferred.
  • Must have experience with basic office equipment (phone, copier, fax, document imaging equipment) and use of MS Office.
  • Use of Banner system or like database system is preferred.
  • Must be able to perform accurate data entry/keyboarding tasks.
  • Experience with budgetary processes.
  • Must be able to provide excellent customer service, work as a team player, and demonstrate professional telephone and office etiquette.
  • Requires occasional evening and weekend responsibilities during peak processing times.

Physical Demands

While performing the duties of this job, the employee is regularly required to use hands and fingers to handle controls, key pads, etc. Will be required to sit and reach with hands and arms as well as, sit, stand and walk. The employee must frequently lift and/or move up to 15 pounds while loading office supplies and paper. Occasionally, position will include physical duties such as: extensive walking, standing, climbing stairs, and carrying boxes of documents weighing up to 25 lbs.  Specific vision abilities required include close vision, some color vision, and the ability to adjust focus from documents to computer screen. Hearing of light to moderate sound is required by this job. The noise level in the work environment is usually moderate.
