Job Description

The Support Professional, Library Specialist – Evening Circulation Associate is responsible for all Circulation Services during the evening and weekend hours.

ESSENTIAL FUNCTIONS

  • Manage, supervise and provide leadership, planning, and guidance for daily operations of Circulation Services including the Circulation Desk, Reserves Collection, Fines and Fees, and Stack Maintenance.
  • Circulate library materials to patrons, e.g., check-out, check-in, claims returned, and ILL materials.
  • Hire, train, supervise, schedule, and evaluate student employees.
  • Interpret, revise and enforce all Circulation Services policies and procedures.
  • Manage and resolve customer service needs and complaints. Refer patrons, in person or via phone, to appropriate departments within the Library and the College.
  • Coordinate and supervise the opening and closing of the Library when scheduled.
  • Reconcile and balance daily deposits in cash, checks, credit cards, and Raider Card transactions.
  • Manage and Coordinate the Laptop and Technology Checkout Program.
  • In absence of the Library Specialist-Circulation, process deposits for Cashier’s Office and Accounting.
  • Reconcile petty cash.
  • Determine lost fees for overdue materials, fines, and replacement costs for lost items.
  • Remove academic holds when needed.
  • Verify student enrollment when needed.
  • Assist in the management of Student Assistant funding and budget.
  • Participate in projects that involve the Integrated Library System (ILS).
  • Master all aspects of the ILS Circulation module.
  • Notify GRCC faculty and staff when requested items are processed and ready for use.
  • Assist patrons with equipment and communicate operational issues.
  • Oversee stack maintenance of the library collection.
  • Responsible for the inventory of the circulating collection. Check shelves for lost, missing, and overdue books and change statuses accordingly.
  • Monitor library supplies and communicate with the Library Administrative Assistant when supplies are low.
  • Design and prepare fliers, bookmarks, service signage, and brochures.
  • Update Library Student Assistant Manual and other circulation process documents.
  • Assist Library Specialist-Circulation in the communications with Student Employment Services (SES) and follow appropriate steps for job posting, interviewing, hiring, scheduling, referrals, and evaluating student assistants.
  • Act as liaison between SES and student assistants interpreting administrative/college policies and procedures, the Student Employee Handbook and payroll to the students.
  • Cultivate an awareness of and proficiency with new technologies.
  • Receive book and audiovisual donations and process according to the Gift Materials Policy.
  • Register new patrons and update existing records.
  • Contribute to the information content of the Library’s website.
  • Assist Library Specialist-Circulation in creating and updating brief bibliographic records for reserve materials according to established parameters using MARC format.
  • Assist patrons and staff in locating materials in reference, circulating collection, and reserves areas of the Library.
  • Participate in the Library strategic plan, policy development, customer service assessment, and department organization discussions.
  • Stay up-to-date with new technologies and academic library trends, continually assess and improve the circulation process.
  • In absence of Serials Specialist input all scheduled appointments from LibCal for library instruction classes through 25Live.
  • Run queries, compile reports and analyze data to prepare statistics for Director of the Library and Learning Commons, U.S. Department of Education Survey of Academic Libraries, ALA Association of College & Research Libraries, and Michigan Academic Library Council statistics and reports.
  • Prepare reports using Integrated Library System and spreadsheets on circulation services and building use, shelving, lost/paid, missing, claims returned, inventory, internal hold requests, clear hold shelf items.
  • With the Access Services Team, run library student employee orientation and training sessions.
  • Support the GRCC and LLC student-centered mission, vision, values, and ends and ensure that common academic library standards and practices are followed.
  • Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.

JOB SPECIFICATIONS

Educational Credentials

  • Associate’s degree or comparable combination of relevant education and experience required.

Work Experience

  • Experience with an Integrated Library System.
  • Excellent supervisory experience preferred.
  • Familiarity with all phases of library operation preferred.
