Century City Center - Classified III, Administrative Assistant, Veteran's Affairs/Dual Credit

Job Description

The Administrative Assistant is responsible to the Director of Student Success for providing assistance to the office of Student Success, specifically the Veterans Affairs Benefits Coordinator and the Early College Start Coordinator. This is a security-sensitive position and is subject to a criminal history record. (Texas Government Code 411.094 & Texas Education Code 51.215)

 

Specific duties include:

  1. Assist the Veterans Affairs Benefits Coordinator with maintaining files, processing information, and communication with Veterans Affairs Benefits potential and current students.

     

  2. Serve as a secondary School Certifying Official (SCO) for the Department of Veterans Affairs (VA) and the Texas Veterans Commission (Hazlewood) at Vernon College.

     

  3. General knowledge of all VA and Hazlewood benefits, documentation needed, processes, and timeline of benefits (e.g., DD214 documentation, certification process and timeframe) in order to provide accurate information to students.

     

  4. Assist the Early College Start Coordinator with maintaining records, processing information, and communications with Concurrent/Dual Credit students, parents, and High School Counselors.

     

  5. General knowledge of Concurrent/Dual Credit processes and procedures in order to provide accurate information.

     

  6. Process requisitions, expenses, and invoices for office purchases for Veterans Affairs Benefits Coordinator and Early College Start Coordinator. 

     

  7. Maintain the Veterans Affairs and Dual Credit webpage on the Vernon College website.

     

  8. Work collaboratively with the Veterans Affairs Coordinator and Early College Start Coordinator to design and create promotional and informational materials (e.g., social media, hard copy, electronic, VC promotional items).

     

  9. Responsible for coordination of and participation in designated events and programming (e.g., Veteran’s Day parade, DC Compass).

     

  10. Serve as the back up front desk assistant during lunch hour, sick days, and vacations.

     

  11. General knowledge of registration, catalog, and processes (e.g., application, course withdrawal, change of major) in order to provide accurate information to current and prospective students.

     

  12. Handling of emails, scheduling appointments, assisting walk in students, and answering telephone inquiries with friendly customer service and accurate information in regard to Veterans Affairs Benefits, Concurrent/Dual Credit, and other Student Services offices.

     

  13. Function as a team member of the Division of Student Services professional staff in the development and implementation of processes necessary to accomplish the goals and philosophy of the division and the College.

     

  14. Assume duties and responsibilities as assigned by the Veterans Affairs Benefits Coordinator, Early College Start Coordinator, Director of Student Success, and/or the Vice President of Student Services.

Travel Required: Very limited

Experience and Training: Requires one year or more receptionist experience as well as general office work experience with emphasis on computer relate skills and general record-keeping.

Education: High School Graduate or equivalent required. some higher education experience preferred.

Knowledge, Skills, and Abilities: Skills in meeting and assisting the public. A working knowledge of higher education practices. Ability to perform detail work and the ability to follow verbal and written instructions.

Preferred Qualifications: Excellent interpersonal and customer service skills to be a positive representative for Vernon College. Must have strong oral communication skills. Must be able to plan and manage tasks, understand and follow detailed instructions. Strict confidentiality must be maintained, Regular reliable attendance is required. 

Minimum Education Qualifications: HS diploma

Salary or Salary Range: This is a full-time 12 month position with full-time benefits. The salary for this position is $25,823 to $27,819 based on the Classified salary schedule depending on experience. Applications will be accepted until 9/23/2024. This position is available on 9/23/2024.
