Job Description
Motlow State is located in the beautiful rolling hills of middle Tennessee and has four campuses that serve students from eleven counties. General Function:
Provides administrative support to a Dean or Director. Performs general office duties and complex clerical duties. May oversee the scheduling and job assignment of temporary or part-time clerical employees.
Minimum Qualifications:
High school diploma or equivalent with minimum three years clerical or secretarial experience in an educational or business setting.
Preferred Qualifications:
Associate degree or higher earned from an accredited institution and three years clerical or secretarial experience in an educational, accounting or business setting.
Major Duties and Responsibilities:
- Oversees multiple budgets to include allocations, travel, disbursements, purchasing, verification, account reconciliation, financial reports, and communication with faculty, staff, and administration.
- Facilitates and coordinates campus events and productions to include theatre productions, musical performances, training sessions, meetings, guest speakers, and Dean- or Assistant Dean-led events.
- Communicates verbally and in writing with faculty, staff, administration, and students in an appropriate and professional manner while maintaining confidentiality and FERPA standards.
- Builds the on ground and web schedule of classes each semester to include entry in the system, collection of documentation for adjunct faculty, room schedules, room availability, and required reports.
- Provides general administrative support for campus Dean or Assistant Dean, full-time faculty, adjunct faculty, and other campus constituencies including maintaining office supplies, mail/courier coordination, ordering of needed equipment, providing equipment/copier troubleshooting, facilitating any needed repairs from outside vendors, creation and maintenance of academic, personnel, financial, and statistical records.
- Provides administrative support to Dean or Assistant Dean, and faculty for calendar assistance, scheduling, arranging logistics, and coordinating travel to meetings, seminars, conferences, and events.
- Creates and maintains minutes of meetings, correspondence, reports, faculty load and other records for Dean or Assistant Dean, faculty, and appropriate committees.
- Creates, processes, submits, and maintains records of faculty contracts in accordance with established procedures and deadlines using database systems as required.
- Supports the advancement of diversity, equity, accessibility, and inclusion efforts of the institution.
- Other duties as assigned
Knowledge, Skills and Abilities:
- Knowledge and broad understanding of standard accounting procedures including budgets, estimates, price quotes, purchasing, and account reconciliation.
- Ability to effectively use interpersonal communications skills with emphasis on initiative and execution of duties in support of the college mission in a diverse community.
- Ability to work independently and manage time and resources efficiently and effectively.
- Strong computer skills to include database management, word processing, spreadsheets, and email.
- Knowledge of Motlow and TBR policies and procedures.
